CXAigent – Terms and Conditions

By purchasing, downloading, or installing the CXAigent plugin (the “Software”), you agree to the following legally binding terms.

    1. Purchasing and Licensing
      • License Grant: Purchase grants a non-exclusive, non-transferable license for use on the number of sites specified in your plan.
      • Ownership: All intellectual property rights in the Software remain with the developer. You may not decompile, reverse engineer, or redistribute the source code without express written consent.

 

    1. 14-Day Money Back Guarantee
      • Refund Window: New users may access a 14-day trial. Payment details are required upfront to prevent service interruption.
      • Renewals: This guarantee applies to the initial purchase only. Automatic renewals are not eligible for a refund, though you may cancel your subscription at any time to prevent future charges.
      • Abuse: We reserve the right to refuse a refund if we determine a pattern of “serial refunding” (buying and refunding multiple times) or if the license was purchased during a high-discount “Flash Sale” where “All Sales Final” was clearly stated.
      • Technical Issues: While not required, we strongly encourage you to reach out to our support team first. 90% of “reasons for refund” are simple configuration issues we can fix in 5 minutes!

 

    1. OpenAI API Integration and Costs
      • Independent Account: This Software is a “bridge” to OpenAI. It requires your own OpenAI API Key.
      • Usage Fees: You are solely responsible for all costs incurred on your OpenAI account. CXAigent does not control OpenAI’s pricing or token consumption.
      • Token Management: You are advised to set “Hard Limits” in your OpenAI Billing dashboard to prevent unexpected costs from high-traffic bot interactions.

 

    1. Installation and Compatibility
      • Standard Environment: The Software is designed for standard WordPress environments. It requires PHP 7.4+ and the latest version of WordPress.
      • No Universal Guarantee: Due to the open nature of WordPress, we do not guarantee compatibility with every third-party theme (e.g., custom builders) or security plugin.
      • Staging Recommendation: You are strictly advised to test the Software on a staging/development site before deploying it to a live production environment.

 

    1. Site Issues and Limitation of Liability
      • “As-Is” Provision: The Software is provided “as-is.” We are not liable for any site downtime, data loss, “White Screen of Death,” or database corruption resulting from the installation or use of the Software.
      • AI Accuracy: We are not responsible for “AI Hallucinations,” incorrect information provided by the bot, or any damages (financial or reputational) resulting from the bot’s responses.

 

    1. Mandated Backup Requirement
      • Condition of Use: It is a condition of using this Software that you maintain a current, off-site backup of your website and database.
      • Pre-Update/Pre-Scan Requirement: You must perform a manual backup before running a “Full Website Scan” or updating the Software. Failure to maintain backups waives your right to support for data recovery.

 

    1. Support Policy
      • Scope: Support covers Software bugs and installation assistance. It does not cover custom CSS, fixing issues caused by other plugins, or OpenAI account troubleshooting.
      • Response Time: We aim for a 24-48 hour response time (business days), though this is not a guaranteed SLA.

 

    1. Refund Policy
      • Technical Failure: Refunds are only issued if the Software is proven fundamentally non-functional on a standard WordPress environment and our support team is unable to provide a fix within 7 days.
      • Exclusions: Refunds are not granted for “change of mind,” OpenAI service outages, or compatibility issues with third-party themes that deviate from WordPress coding standards.

 

  1. Specific Rules for Agencies
    • Direct Support: We provide support to the Agency license holder only. We do not communicate directly with your end-clients.
    • License Stewardship: Agencies are responsible for ensuring their clients comply with these Terms, specifically regarding OpenAI API usage.

Essential Site Backup Guide (Developer Advice)

Because CXAigent involves heavy database interactions (indexing URLs and storing Vector IDs), a robust backup strategy is your “insurance policy.”

    1. Recommended Tools (2024/2025 Standards)
      • UpdraftPlus: The best free option. It allows you to automate backups and send them directly to Google Drive or Dropbox.
      • Duplicator Pro: Best for developers. It creates a “package” (installer + archive) that can restore a site even if the WordPress dashboard is inaccessible.
      • BlogVault: Recommended for Agencies. It handles off-site incremental backups, meaning it won’t slow down your server during the process.

 

    1. The “3-2-1” Rule
      • 3 Copies: Keep your live site, one local backup, and one cloud backup.
      • 2 Media Types: Save one on your server and one on an external drive or cloud.
      • 1 Off-Site: Never store your only backup on the same server as your website. If the server crashes, you lose both the site and the backup.

 

    1. Pre-Scan Protocol

Before you click the “Scan and Index” button in the Knowledge Base:

    1. Run a Database-only backup (takes 30 seconds).
    2. Verify the backup size to ensure it isn’t a 0kb “ghost” file.
    3. Perform the Scan. If the scan times out or causes a resource spike, you can “Roll Back” your database to its clean state immediately.
